Agency Project Manager

The BNO Project Manager is the hub in the BNO delivery process, managing digital, print and technical projects interfacing with the Account Manager, clients, partners and the creative team assigned to each project. Some or all of these parties may work outside the walls of BNO; it is therefore critical that the Project Manager appropriately represent BNO consistent with the BNO brand and the BNO ethical code.

The BNO Project Manager is responsible for leading the development of programs for existing clients, ensuring that each program is consistent with the program concept, is on-time and on-budget. The Project Manager is the primary creative team interface and is responsible for managing all aspects of the delivery team, including timelines, hours, deliverables, handoffs to the Account Manager and/or client. Project Manager’s must also maintain a strong working relationship with the Account Manager and appropriate client contacts to ensure seamless delivery and outstanding client service.

The BNO Project Manager’s responsibilities include:

  • Develop and maintain project timelines, ensuring that all milestones are communicated and met by the team and the client.
  • Conduct regular team meetings and review project deliverables with team to ensure adherence to program brief and concept.
  • Manage project scope with both the development team and the Account Manager/client. Track team hours to ensure project remains on-budget and within scope.
  • Develop and maintain positive working relationships with all members of the team, ensuring that project concerns are proactively addressed and communicated to the account team when necessary and team morale is not negatively impacted.
  • Develop and maintain positive, mutually beneficial relationships with all client contacts, including all those who work with and support the client within their company or their agencies.
  • Develop a working understanding of the client’s overall brand marketing plan, therapeutic category, and/or marketing objectives so ensure alignment of program deliverables. 

The Project Manager is accountable for the following core project tasks:

  • Create estimates for new or proposed projects
  • Create Project Plan and review with internal team(s)
  • Manage resources to obtain availability and estimates based on SOW (ensure that estimates are of appropriate level of detail to enable management of the budget based on task-level percent completion)
  • Manage the project timeline, budget and resources to ensure timely completion of all deliverables as well as identify and manage scope change
  • Manage project folder on the server, storing SOWs, Estimates and other project artifacts
  • Document, track and manage all project issues and risks, escalating when required.
  • Review and approve timesheets weekly
  • Review project financials and provide bi-weekly updates, including current month projection/actual and forecast for the coming quarter
  • Setup and prepare weekly status reports for client and network
  • Review project plan, percent complete projections and other project artifacts with the account team
  • Ensure that the account team is fully aware of budget status relative to work completed and work remaining
  • Notify account team of changes in scope that require a change order and work with the account team by providing details (description and costs) to be included in the project change order
  • Review BNO Process with external vendors and resources; including but not limited to:

              •      BNO deliverable review process (internal, client and med-legal)

              •      BNO standard creative templates including Site Architecture Document, Storyboards/Concepts, Style Guide, Manuscript Template, Reference Guidelines (including sample reference annotations)

  • Review all deliverables to ensure completion of assignments and incorporation of feedback
  • Notify project team members (internal/external) immediately if a deliverable is not acceptable either due to quality or failure to adhere to BNO guidelines
  • Manage logistics and schedules for projects requiring off-site production or execution (for example: Events, Webinars, Video, etc.)
  • Some travel and on-location logistics management may be required for certain projects
  • Manage schedules, budgets and vendor partners for “offline” asset production where appropriate (for example: print materials in support of project initiatives)

  • College degree
  • Minimum of 5-7 years of project management experience in an advertising agency
  • Excellent organizational skills and attention to detail
  • Experience managing and motivating internal teams
  • Ability to see the bigger picture

  • MS Project/Smartsheet or similar, MS Office expertise, quality control experience
  • Strong understanding of digital and technical production processes
  • Strong communication (written, verbal, presentation) skills
  • Ability to multitask in a fast-paced environment
